How MzNotaryMN collects, uses, shares, protects, and retains information
MzNotaryMN's commitment
Notary documents can contain highly sensitive information. MzNotaryMN collects only what is reasonably needed, uses it for the requested service and lawful business purposes, and does not sell or rent personal information.
1. Scope
This Privacy Policy applies to mznotarymn.com, booking and intake forms, email and text communications, invoices, in-person appointments, RON sessions, apostille and courier services, loan signings, and other MzNotaryMN services. Third-party websites and platforms have their own privacy practices.
2. Information collected
Information you provide
- Name, email address, telephone number, mailing address, appointment location, preferred time, and service requested
- Information needed to prepare a quote, invoice, reminder, route, or appointment
- Documents or document excerpts you upload, email, or provide for review or service
- Payment status and transaction details supplied by a payment processor, but not your full card number
- Communications, customer-service requests, consent records, and feedback
Information collected during a notarial service
- Information recorded in the voluntary in-person notarial journal, such as date and time, type of act, document description, signer name, identification method, fee, and other risk-management notes
- For RON, information required for identity proofing, credential analysis, knowledge-based authentication when applicable, the electronic journal, and the audio-video recording
- Signatures, notarial certificates, courier and tracking information, and records required by a hiring entity or applicable law
Information collected through the website
- IP address, browser, device, operating system, pages viewed, referral information, date and time, security events, and similar technical data logged by the website host
- Cookies set by embedded YouTube videos when a visitor plays one. The website itself does not set advertising, analytics, or tracking cookies.
3. Sensitive information inside documents
Documents may contain Social Security numbers, account information, health directives, property descriptions, family information, birth dates, identification numbers, or other sensitive data. MzNotaryMN does not ask you to send more than is reasonably necessary. When possible, provide only the pages or information needed for a quote and use the designated secure upload process rather than ordinary text message.
4. How information is used
- Respond to inquiries and determine whether a requested service can be accepted
- Prepare quotes, invoices, appointment confirmations, directions, reminders, and receipts
- Verify identity, perform notarial acts, facilitate signings, and maintain required or prudent records
- Provide RON, apostille, courier, closing, I-9, witness-coordination, and related services
- Communicate about an appointment, resolve a complaint, correct an error, prevent fraud, and protect legal rights
- Maintain accounting, tax, insurance, licensing, compliance, and business records
- Operate, secure, troubleshoot, and improve the website and service process
- Send marketing only when you have affirmatively opted in or when otherwise allowed by law
5. What MzNotaryMN does not do
MzNotaryMN does not sell personal information. MzNotaryMN does not rent or trade documents or personal information. Document contents are not used for advertising, unrelated profiling, or data-broker purposes. You are not added to a marketing list merely because you booked an appointment.
6. Service providers and recipients
MzNotaryMN discloses information only as reasonably necessary to provide services, operate the business, comply with law, or protect rights. Recipients may include:
- GoHighLevel. Scheduling, forms, CRM, invoicing, reminders, and communications.
- Proof/Notarize or another approved RON provider. Identity proofing, RON sessions, electronic signatures and seals, journals, recordings, and delivery.
- Google and reCAPTCHA. Email, workspace tools, site security, spam prevention, and analytics when enabled.
- Payment providers. Stripe or another card processor, Zelle, banks, and related fraud or transaction services.
- FedEx, UPS, and couriers. Shipping, delivery, tracking, apostille, and loan-package return.
- Government offices. The Minnesota Secretary of State, recorders, courts, agencies, consulates, or other authorities involved in an authorized submission.
- Hiring and transaction parties. Title companies, lenders, attorneys, signing services, employers, document providers, and recipients to the extent required for the assigned service.
- Professional advisors and authorities. Accountants, insurers, attorneys, law enforcement, courts, regulators, or investigators when reasonably necessary and legally permitted or required.
Service providers may process information in other states or countries under their own terms and privacy practices. MzNotaryMN selects providers based on business needs but cannot guarantee an independent provider's systems.
7. Retention
Uploaded and working document copies
MzNotaryMN deletes active working copies when they are no longer reasonably needed, generally within 30 days after the service is completed, unless a longer period is needed for an unresolved matter, client or hiring-entity instruction, legal obligation, insurance claim, fraud prevention, accounting, or protection of rights. Deleted data may remain temporarily in encrypted backups or provider systems according to their retention cycles.
Voluntary in-person journal
Minnesota does not generally require a traditional journal for every in-person notarization. MzNotaryMN voluntarily maintains a secure journal as a professional risk-management practice. Completed entries are not altered or selectively deleted under an internal record-integrity policy, except for a documented correction that preserves the original entry and audit trail.
RON journal and recording
Minnesota law requires a secure electronic journal and audio-video recording for RON. Those records and backups are retained for at least ten years after the transaction or proceeding through the approved RON platform or designated repository.
Business, tax, payment, and communication records
Invoices, receipts, contracts, consent records, appointment history, business correspondence, and tax or accounting records are retained for the period reasonably necessary for business, insurance, tax, legal, and dispute purposes.
8. Security
MzNotaryMN uses reasonable administrative, technical, and physical safeguards appropriate to a small professional service business, including password-protected accounts, device locks, access controls, secure provider accounts, careful physical custody, and limited disclosure. Client documents are not left unsecured in a vehicle, and client matters are not discussed with uninvolved people.
No system can be guaranteed completely secure. If MzNotaryMN determines that a security incident requires notice under applicable law, legally required notice will be provided along with reasonable response steps.
9. Your choices and requests
You may email Hello@MzNotaryMN.com to request access to information MzNotaryMN maintains about you, correction of inaccurate contact information, deletion of eligible working copies, withdrawal from marketing, or an explanation of this Policy. MzNotaryMN may need to verify identity and may deny or limit a request when retention or disclosure is required or permitted by law, needed for security or a dispute, technically infeasible in backups, or inconsistent with the integrity of a notarial record.
Where a privacy law gives you additional rights, MzNotaryMN will honor those rights as applicable. MzNotaryMN does not sell sensitive data and does not use personal information for targeted advertising based on activity across unrelated websites.
10. Email and text preferences
Transactional messages about a requested appointment may be necessary to perform the service. Marketing email or automated marketing texts are sent only when permitted. You may use the unsubscribe link in an email or reply STOP to eligible text messages. Opting out of marketing does not prevent necessary service, security, legal, or transaction communications.
11. Cookies and analytics
The Cookie Notice explains website technologies. You can manage cookies through browser settings. Blocking essential or security cookies may prevent forms, scheduling, payments, or other features from working. See the Cookie Notice in the site disclosures for more detail.
12. Children
The website and services are directed to adults. MzNotaryMN does not knowingly collect personal information directly from a child under 13. Documents concerning a minor, such as a travel-consent letter, are provided by an adult who represents that they are authorized to do so.
13. Business transfer
If I Am She LLC is reorganized, merged, sold, or transfers a line of business, information may be transferred as part of that transaction subject to applicable law, confidentiality obligations, and the purpose limitations described here.
14. Changes
MzNotaryMN may update this Policy prospectively. The effective and last-updated dates identify the current version. Material changes may also be highlighted on the website or communicated when appropriate.
